How many people do I need to bring to receive a group discount?

10 or more. You will also receive one free place for every 15 people you bring along.

What documentation will I receive before I commit my group for a booking?

You will receive a pack containing an agreement detailing the total cost of the booking, our booking terms and conditions, and the due date for the deposit. We will also supply you with information on insurance and cancellation options. We strongly advise you to discuss this with your group as failure to take a cancellation policy with ourselves or their own travel provider will result in full loss of monies should your group members cancel their break at a later stage.

What happens next?

You will receive a pack containing a detailed list of the rooms held, a dining table plan and if applicable a bowls and travel form. We need these documents to be completed and returned at your earliest convenience – at the latest, with your final balance 10 weeks before the holiday start date.

What happens if my group numbers reduce?

This will depend on the availability at the time. Generally we will honour the group price given, however, we reserve the right to charge the brochure price if there is a high demand for bookings.

You may also loose, or have a reduction made in other benefits offered, such a free places and singles with no supplement depending the new numbers advised for your booking.

What do you charge for the ferry crossing to the Isle of Wight?

If you are travelling with Wightlink, the charge for ferry crossing is:

  • £20.00 per car from Portsmouth to Fishbourne
  • £20.00 per car from Lymington to Yarmouth
  • £45.00 per car from Southampton to Cowes

This charge is not dependable on how many people are in the car - it is a standard charge per car.

For coaches, if 40 people travel the coach will travel Free of Charge, if under 40 people travel then there will be a £7.50 charge per unoccupied seat below 40 passengers and this will be added to your invoice. Empty leg return coach crossing charged at £97.00 per coach.

Do you offer free places for coach drivers?

The free places we offer you can be used in any way you wish. You may choose to keep them for yourself as the organiser, split them between your party to reduce the per person price, or offer them to your coach driver. Extra free places are not given on top for coach drivers.

Can you guarantee special requests that are made?

Unfortunately we are unable to guarantee special requests but we will endeavour to do our best to meet them. If you have requirements that are necessary for particular guests to travel on your break eg/ Wheelchair action rooms, these MUST be asked for and confirmed at the time of booking, not left until rooming list stage, as we may not have availability to fulfil such a request at a later stage due to room availability.

How flexible are group bookings?

We understand the hard work that goes into arranging a group holiday. We will try and be as flexible as possible for such issues as name changes and rooming lists.

How many single rooms am I entitiled to?

Depending on the size of your group, you will be allowed the following number of single rooms with no extra charge:

  • 10 to 14 guests - 2 single room
  • 15 to 29 guests - 3 single rooms
  • 30 to 44 guests - 4 single rooms
  • 45 to 59 guests - 5 single rooms
  • 60 to 74 guests – 6 at villages, 5 at hotels

If more single rooms are required there will be under occupancy charges applied which could be up to 100% of the per person price depending on availability at the time of request.

This benefit could be withdrawn if we have less than 20 rooms available at the time of enquiry.

Do you give any help with the cost of postage and telephone calls?

Yes, this is in the form of our freephone telephone number and pre paid envelopes supplied at the time of confirming your booking. You can also choose to communicate with us via email on: warnergroups@bourne-leisure.co.uk.

Are our group members able to specify where we sit in the restaurant?

You will be provided with a *table plan. Each Hotel / Village will do their best to meet your requests but as already specified we are unable to guarantee requests.

*Except Thoresby Hall who operate a free seating policy. There may also be the opportunity at a selection of our Historic Hotels to organise private dining – please talk to us about your requirements and we will do our best to provide this at an additional charge.

Do you take bookings that enable a group to book a large number of rooms or the entire hotel or village?

Yes, these prices are on request and are called ‘Large Allocations’ or 'Sole use breaks'. Please see our Sole use breaks page for further details. These bookings would carry separate pricing and contract terms which we can discuss with you at the time of enquiry.

Do you provide a price for coach inclusive?

No, but we can put you in touch with local or national coach operators who may be able to provide transport for you.
